Since its founding in 1966, innovation has been the hallmark of McMaster University’s Michael G. DeGroote School of Medicine. The unique three-year program is based on small group, problem- based study and early introduction to the clinical experience.
Goals/ Objectives
The visiting electives program provides opportunities to explore career possibilities, to gain experience in aspects of medicine beyond the core curriculum, and to study subjects in greater depth. Both the student and the preceptor (supervisor) are responsible for ensuring a clear, mutual understanding of the learning activities designed to meet the objectives of the elective.

Only medical students currently enrolled in an accredited Canadian Medical School, in their clerkship phase of study.

Visiting students from international medical schools who are applying to undertake electives with the UG Electives Office at McMaster University are required to review the following policies.
Successful applicants are chosen via a random selection process (lottery), there are no exceptions to this irrespective of department or preceptor support.
Students must use the email address assigned by their home school to apply. Please do not use your personal email address such as a Gmail or Hotmail account.
APPLICATION SUBMISSION
International electives are only offered for the below time periods. There is no flexibility to the rotation dates and students must attend for the full 4-weeks. Submission of an online application form via AFMC portal during the below windows is required for application consideration in the Undergraduate Medical Education Visiting Elective International Electives Program:

Application requests from students that have not submitted an online application form during the time periods mentioned will not be considered. There are no exceptions to this policy.
Please note, receipt of application will be acknowledged by an auto-AFMC email only. Receipt of fees and application do not guarantee confirmation of placement.
Multiple applications submitted to McMaster for the SAME DATES will not be processed. There will be an initial fee of $250.00 to process the application, followed by a second fee of $500.00 once an elective is confirmed and accepted by the student. The $325.00 malpractice insurance fee is included in the student acceptance fee.
LENGTH OF ELECTIVES
Due to the time required for onboarding, we do not offer international electives for less than 4 weeks in duration. They begin on Mondays and end on Sundays with the exception of some Emergency Medicine and CTU rotations (students completing a CTU elective may be required to be on call on the last Saturday of their elective and should plan travels accordingly) and weeks that contain statutory holidays.
We do not allow any “off-cycle” electives (rotations that overlap two blocks).
PLACEMENT POLICY
Due to the requirements of McMaster’s own medical students and the popularity of the electives program, capacity is limited. As such, we cannot guarantee that all applicants will receive a confirmed elective. Students will be notified if they have been matched to an elective after the application window closes.
Note: There are no waitlists! Should your application be concluded without an elective offer you will not be added to a waitlist. Students are encouraged to apply to a different elective block if they are still interested.
Once an elective placement is offered to the student, the student will have 72 hours to accept or decline. If the student does not take action within this time frame, we reserve the right to revoke the offer.
Requests for time away from the elective (up to 48 hours) must be communicated to the UGME Electives Office, the Placement Coordinator, and the Preceptor for consideration at least 8 weeks prior to the elective start date.
Alternate Elective Choice
McMaster runs on a capacity-based system. It is NOT guaranteed you will be offered the elective you apply to.

PAYMENT PROCESS
Elective application fees are due at the time of application submission and must be paid as part of the application.
COMMUNICATION POLICY
CHANGE REQUESTS
Once an elective has been secured, changes are not permitted. This applies to dates, duration, and specialties. There are no exceptions to this policy.
CANCELLATION POLICY
There are no refunds for cancelling any confirmed electives. Should you decide to cancel an elective once it is confirmed, you are required to notify the Visiting Electives office at least six (6) weeks prior to the commencement of the elective start date.
If a student cancels an elective less than six (6) weeks prior to the start date, the home school will be notified in writing. Cancelling an elective at this point is deemed unprofessional.
STUDENT EVALUATIONS
The supervising physician is responsible for evaluating students while on elective. It is the responsibility of every visiting student to ensure that their home school-based evaluation form has been completed and returned to their home school.

Students are not required to provide proof of malpractice insurance as this is set up through McMaster University. Our acceptance fee of $500.00 CDN includes the mandatory malpractice coverage, so there is no need to purchase any or provide proof of coverage from your home school

International Students must provide proof of English proficiency. Students that do not meet the minimum requirements will not be permitted to conduct their elective
Valid Proof consists of one of the following:
N95 MASK FIT TESTING
Students must provide proof of valid N95 Mask Fit or will need to indicate they will schedule testing upon arrival.
Requirements:
-Must be one of these mask types: 3M1870+, 1860, 1860s, 1804, 1804s.
-Mask Fit test cannot be more than 2 years old.
If either of the above criteria is not met you will need to book a new mask fit session.
A PAPR unit and training is available to students who require it. The student must notify our office once the elective is confirmed and we will connect you with the Health Record Screening (HRS) office for assistance. HRS will confirm with the student but, estimated costs are $800 CAD ($400 deposit and $400 for consumables).
COMMUNICATION
Visiting students are strictly prohibited from contacting preceptors, faculty, or department administrators to arrange elective requests outside of the AFMC Student Portal. Any attempts to do so are considered unprofessional, and a Letter of Unprofessionalism may be sent to your home school. All elective requests must be handled by the UGME Elective Office. Unfortunately, we cannot guarantee that all applicants will secure an elective.
To protect applicant privacy and comply with provincial privacy legislation, all communication regarding elective applications will be conducted directly with the applicant only. We are unable to discuss application details with parents, guardians, or third parties.
CONFIRMATION
Once an elective has been confirmed, there will be no changes permitted. Please refer to the cancellations and change requests tab for further information.

Students are advised to make arrangements for accommodation before arrival. All communications and arrangements are the sole responsibility of the student. The Michael G. Students are responsible for providing their preceptor with an elective assessment form from their home university.
If students do not receive the completed form within 2 weeks of the elective’s end, they must inform McMaster University’s Electives Office (electug@mcmaster.ca) who will follow-up with the preceptor and department to ensure completion of the assessment.

POLICE RECORDS CHECK / VULNERABLE SECTOR SCREENING
Criminal Record Policy – Canadian Students ONLY
Students with a home school in Canada are required to accurately list all prior addresses they have resided for more than six months consecutively over the past five years on their Vulnerable Sector Check (VSC) application.
When applying for a visiting elective, students must upload a pdf of their VSC with their application on the Association of Faculties of Medicine of Canada (AFMC) portal. Failure to upload this documentation may result in delayed processing of an elective application or a cancelled elective.
It is recognized that similar documentation may be a requirement of the student’s home university therefore, VSCs must be issued with McMaster University or the student’s home school listed as the requesting agency.
VSCs must be dated within 12 months of the end date of the elective. If a student’s current VSC will expire before or during the elective, the student may submit their current document with their application but must, at least 8 weeks prior to the elective start date, upload a new VSC that is valid until the end of the elective.
Visiting Elective students must make readily available the original copies of uploaded VSCs as they can be requested for verification by the Michael G. DeGroote School of Medicine, the FHS Professionalism Office or the clinical site when attending an elective. Failure to produce original copies when requested may result in a cancelled elective
For Toronto Police Record Requests: once your elective is confirmed please email fhsprof@mcmaster.ca with your full name, AFMC application number and your Toronto home address so that an agency code can be provided which will allow you to request a VSC via their online process. In the interim, a previous police check or letter stating your intent to obtain a Toronto VSC should be uploaded with your application.

We do not accept applications outside of the application window. Offers are made based on the AFMC lottery that occurs once the application period closes.
The elective lottery only considers requests for placements within the designated open window. Alternate dates will not be considered, but students are welcome to apply again during future application windows.
We do not offer visiting electives during July, August and December.
If you do not receive an elective in the first round of the lottery, you may apply for the second round. However, if you are not allocated an elective after both rounds, we will be unable to offer a placement. Students are encouraged to apply again to a different elective block.

Visiting elective students must be cleared by the Health Record Screening (HRS) office prior to starting their elective. If you are not cleared by the HRS office your elective will be cancelled.

There are no refunds for cancelling a confirmed elective. Students are only allowed to cancel an elective if they have a mitigating circumstance. In order to cancel, you must receive approval from your home school. Your home school must notify our office that the elective is being cancelled.
To protect applicant privacy and comply with provincial privacy legislation, all communication regarding elective applications will be conducted directly with the applicant only. We are unable to discuss application details with parents, guardians, or third parties.
Your placement contact is the admin person who will help you with your schedule and will facilitate communication with your preceptor. Your placement contact is copied on your confirmation letter. They will connect with you 1-2 weeks prior to your elective start date.

Students are responsible for providing their preceptor with an elective assessment form from their home university. If students’ do not receive a completed form within 2 weeks of the elective’s end, they must inform McMaster University’s elective office (electug@mcmaster.ca).

Some departments may request that elective students complete an evaluation of the staff they have spent time with.
We do not accept applications outside of the application window. All applications are reviewed once the window closes, there is no advantage to applying early.
We are only able to consider requests for placements within the designated open window. Alternate dates will not be considered, but students are welcome to apply again during future application windows.
International visiting electives are only offered January to June each year. We do not offer any electives outside of the dates on our Electives Application Periods tab.

No, once an elective has been confirmed, changes are not permitted. This applies to dates, location and specialty.
No, due to time required to onboard international students it is imperative that all your application is completed in full at the time of submission. Failure to provide the required documentation will result in the rejection of your application.

For this reason, we strongly encourage students to read all of our requirements before submitting their application.

The AFMC Student Portal for visiting electives is currently closed. Visiting Electives for the Class of 2022 were suspended during the AFMC Board meeting on April 18, 2021. That includes electives for both Canadian and International students. The Undergraduate Deans of Canada’s medical schools are meeting on a regular basis and the decision to re-open the Portal will be made collaboratively and consistently across the country taking into account learning opportunities, provincial covid restrictions and other public health concerns.
We are working with our new Service Provider to build out the new visiting elective service portal. It will be ready when electives are offered again.
The AFMC Student Portal will be offline starting December 23, 2021. The refreshed portal will being rolling out in late February 2022.
