Since its founding in 1966, innovation has been the hallmark of McMaster University’s Michael G. DeGroote School of Medicine. The unique three-year program is based on small group, problem- based study and early introduction to the clinical experience.
Goals/ Objectives
The visiting electives program provides opportunities to explore career possibilities, to gain experience in aspects of medicine beyond the core curriculum, and to study subjects in greater depth. Both the student and the preceptor (supervisor) are responsible for ensuring a clear, mutual understanding of the learning activities designed to meet the objectives of the elective.
Only medical students currently enrolled in an accredited Canadian Medical School, in their clerkship phase of study.
Students who are applying to undertake electives with the UG Electives Office at McMaster University are required to review the following policies:
Please note, receipt of application will be acknowledged by an auto-AFMC email only. Receipt of fees and application do not guarantee confirmation of placement. Please note: Multiple applications submitted to McMaster for the SAME DATES or CONFLICTING DATES will not be processed. There will be an initial fee of $75.00 to process the application, followed by a second fee of $125.00 once an elective is confirmed, and accepted by the student.

International electives will be available July 2024.
Visiting students from international medical schools who are applying to undertake electives at McMaster University should note the following requirements and information. Individuals not adhering to the following procedures will not be permitted to take part in elective activities.
VISITING INTERNATIONAL STUDENT ELECTIVE PERIOD
International electives are only offered from the beginning of January to the end of June, and from the beginning of September to the beginning of December of each year.
RANDOM ALLOCATION
Submission of an online registration form via AFMC portal during the following time periods is required for application consideration in the Undergraduate Medical Education Visiting International Electives Program:
Application requests from students that have not submitted an online registration form during the time periods mentioned will not be considered. There are no exceptions to this policy.
Once registration closes for the specific elective iteration, registrants will be entered into a random allocation for application consideration. Successful registrants will be notified via email to apply to your desired elective via AFMC portal. Unsuccessful registrants will also be notified via email.
Please Note: Being successful through the lottery does not mean that you are guaranteed to receive an elective offer, but rather that you are permitted to submit an application. In the case an elective is not offered, you will be required to pay an initial $50 administrative fee.
Students are not permitted to reach out to individual preceptors or departments in an attempt to arrange electives as a matter of professionalism. Students who attempt to arrange electives outside of the AFMC Student Portal will receive a Letter of Unprofessionalism and may be prohibited from undertaking any elective at McMaster.
PAYMENT PROCESS
Elective application fees are due at the time of application submission and must be paid as part of the application.
ELECTIVE DURATION
Visiting international students may apply for one 2-week, two 2-week, or one 4-week elective placement, not to exceed a total of four (4) weeks per clerkship. There are no exceptions to this. All electives begin on a Monday except when Monday is a public holiday; in which case, the elective will begin on a Tuesday.
Please note: We charge a standard application fee of $75. A second fee of $700 will be charged once an elective is confirmed and accepted, regardless of whether you are applying for one 2-week, two-2 week, or one 4-week elective. If at any point during the application process you are offered an elective, a refund will not be issued.
Receipt of application will be acknowledged by e-mail only. Receipt of fees and application does not guarantee confirmation of placement.
PLACEMENT POLICY
Due to the requirements of McMaster’s own medical students and the popularity of the elective program, capacity is limited. As such, we cannot guarantee that all applicants will receive a confirmed elective. As per the National Electives Policy, we will notify all students of an unsuccessful placement at least 8 weeks prior to the start of the requested elective. At this time, we will close your application to provide you with enough time to arrange an elective at your home school. For status updates regarding your application, please check your AFMC Student Portal Dashboard before emailing.
CANCELLATION POLICY
Should you decide to cancel the elective once it is confirmed, you will be required to notify the Visiting Electives Office at least six (6) weeks prior to the commencement of the elective start date. There will be no refund.
As per the National Electives Policy, if a student cancels an elective less than six (6) weeks prior to the start date, the home school will be notified in writing. Cancelling an elective at this point is deemed unprofessional.
STUDENT EVALUATIONS
The supervising physician is responsible for evaluating students while on an elective.
It is the responsibility of every visiting student to ensure that their evaluation form has been completed and returned to their home school. The Michael G. DeGroote School of Medicine UGME administration will not be responsible for tracking down any evaluation forms.
OUTSTANDING DOCUMENTS
If there are any outstanding documents on an application, they must be submitted at least 8 weeks prior to the requested elective start date, or the application may be subject to cancellation.

WITH APPLICATION SUBMISSION
DECLINING REQUESTS
If you choose to decline a placement that has been approved through the AFMC portal by the Visiting Electives Office, your application will be cancelled without a refund, and you may not resubmit a new application. Elective changes of any kind are not permitted after a placement is confirmed.

APPLICATION SUBMISSION DEADLINE
Applications can only be submitted during the application window outlined in the AFMC portal. All applications will be processed within one week of submission. If an elective has not been offered at the one-week mark, your application will be considered cancelled. Please note: Multiple applications submitted to McMaster for the SAME DATES or CONFLICTING DATES will not be processed. In the case where multiple applications with conflicting dates have been submitted, only the earliest submitted application will be processed, and the additional conflicting applications will be CANCELLED. Electives are 2 weeks in duration. International students are restricted to a maximum of 4 weeks of electives in their final/clerkship year. No exceptions or extensions will be made.

CRIMINAL RECORD REQUIREMENTS
We no longer accept Criminal Record Disclosure to Consent Forms. We have new Police Records Check Policies which are currently in effect.
COMMUNICATION
Visiting students are strictly prohibited from contacting preceptors, faculty, or department administrators to arrange elective requests outside of the AFMC Student Portal. Any attempts to do so are considered unprofessional, and a Letter of Unprofessionalism may be sent to your home school. All elective requests must be handled by the UGME Elective Office. Please do not contact physicians/departments directly. Unfortunately, we cannot guarantee that all applicants will secure an elective.
CONFIRMATION
Once an elective has been confirmed, there will be no changes permitted. If you need to cancel an elective, both the UGME Electives Office and preceptor need to be notified, in writing, no later than 6 weeks prior to the start date. International applicants, please refer to both the “International Students” tab and “International Student Policies” link below for details on the application/lottery process.

If you wish to be placed in a certain region, please indicate this in the notes section of your application and we will do our best to accommodate your request.

McMaster University’s Michael G. DeGroote School of Medicine does not provide housing, travel, and preceptor funding for visiting elective placements in any of the regions.

EVALUATION AND ASSESSMENT
Students are advised to make arrangements for accommodation before arrival. All communications and arrangements are the sole responsibility of the student. The Michael G. DeGroote School of Medicine, McMaster University assumes no responsibility. It is recommended not to make binding arrangements until written confirmation of an elective placement is received from the Visiting Electives Office.

Students will be contacted regarding mandatory computer access training session prior to the start of their elective.
Criminal Record Policy – Canadian Students ONLY
Students with a home school in Canada are required to accurately list all prior addresses they have resided in for more than six months consecutively for the past five years prior to their elective start date on their Vulnerable Sector Check application.
When applying for a visiting elective, students must upload a pdf of their Vulnerable Sector Check with their application on the Association of Faculties of Medicine of Canada (AFMC) portal. Failure to upload this documentation may result in delayed processing of an elective application or a cancelled elective.
It is recognized that similar documentation may be a requirement of the student’s home university therefore, VSCs must be issued with McMaster University or the student’s home school listed as the requesting agency.
Vulnerable Sector Screens must be issued within 12 months of the end date of the elective. If a student’s current VSC or Police Certificate will expire before or during the elective, the student may submit their current document with their application but must, at least 8 weeks prior to the elective start date, upload a new VSC or Police Certificate which is valid until the end of the elective.
Visiting Elective students must make readily available the original copies of uploaded VSCs and/or Police Certificates as they can be requested for verification by the Michael G. DeGroote School of Medicine, the FHS Professionalism Office or the clinical site when attending an elective. Failure to produce original copies when requested may result in a cancelled elective
For Toronto Police Record Requests: an original copy of the “Consent to Disclosure of Personal Information” form is required when requesting a Vulnerable Sector Screen (VSS) from Toronto Police Services. Once your elective is confirmed please email fhsprof@mcmaster.ca with your full name, AFMC application number and your Toronto home address so that a form can be mailed to you. We do not accept applications outside of the application window.
All capacity will be displayed in the portal for each block. Students are not permitted to contact preceptors for elective availability.
We ask that students do not contact preceptors directly to secure an elective. However every effort is made to place students with a specific preceptor based upon their request. We cannot guarantee this as placement depends on preceptor availability. You can include your preceptor request in the student comment section of the application.
Once an elective has been secured, changes are not permitted. This applies to dates and specialties.
Should you decide to cancel the elective placement once it has been secured, notification is required no later than six weeks prior to the elective start date. Notice of an elective cancellation must be submitted in writing to the Visiting Electives office and the clinical department in which the elective is scheduled. No refunds will be issued.

The AFMC Student Portal for visiting electives is currently closed. Visiting Electives for the Class of 2022 were suspended during the AFMC Board meeting on April 18, 2021. That includes electives for both Canadian and International students. The Undergraduate Deans of Canada’s medical schools are meeting on a regular basis and the decision to re-open the Portal will be made collaboratively and consistently across the country taking into account learning opportunities, provincial covid restrictions and other public health concerns.
We are working with our new Service Provider to build out the new visiting elective service portal. It will be ready when electives are offered again.
The AFMC Student Portal will be offline starting December 23, 2021. The refreshed portal will being rolling out in late February 2022.
