CANADIAN STUDENTS
You are able to apply as a Canadian student if you are from a medical school outside of Ontario and are in your penultimate or final year of your medical program.
MD EXTENSION PROGRAM STUDENTS
This student type has been implemented for Undergraduate learners who are interested in completing electives after completion of their final undergraduate year and have gone unmatched through CaRMS. MD Extension learners should contact NOSM U directly at electives@nosm.ca
ONTARIO STUDENTS
You are able to apply as an Ontario student if you are from a medical school within Ontario and are in your penultimate or final year of your medical program.

Preceptor Search
Learners are discouraged from contacting their own preceptor. NOSM University will match you to a preceptor in your preferred area of specialty or community. This will permit us to follow our administrative processes which are designed to ensure that all learners have equitable access to the available placement opportunities in Northern Ontario.
ELECTIVE CAPACITY
Capacity based model, please apply to what is available in the AFMC Portal. There are no other opportunities available, please refrain from contacting the electives coordinators in this regard.
Number of Electives
Canadian learners can apply for multiple electives at NOSM University; however we do not accept multiple applications for the same dates. Different date choices must be in a separate application as we do not accept choices in the comments section of the Application.
Student Assessments
Students are responsible for providing their preceptor with an elective assessment form from their home university.
If students do not receive the completed form within 2 weeks of the elective’s end, they should contact our elective office @ electives@nosm.ca. The Electives Office will then follow up with the preceptor and department to ensure completion of assessment.

- Letter of Good Standing – please use the standardized copy available on the AFMC portal, as this is the only acceptable LOGS and contains all the information NOSM U requires.
CLOSER TO ELECTIVE START DATE
PLEASE NOTE: The following documents may be required by your confirmed preceptor/service or group. They will contact you directly, to obtain any further documents.
- Proof of N95 Mask Fitting (PNG, JPEG, PDF, DOC)
- Police Check, including Vulnerable Sector Check, can be done once upon entry to medical school with student attestation to no changes to the original document within 12 months of elective start date. Students are required to upload either a recent original copy or a copy of the home school annual attestation form.
- AFMC Immunization form
Eligibility
- Learners must be enrolled in a recognized medical school program listed on FAIMER/IMED; the program duration must be stated.
- Students must be CANADIAN CITIZENS OR PERMANENT RESIDENTS, who are studying internationally.
- Learners must not be attending an Osteopathic school.
- Learners must be in the final two years of an undergraduate medical degree program at the time of the requested elective.
- The clinical placement must be a mandatory and for credit elective as deemed by the learner’s home school. Applications for core placements are not accepted.
Application Instructions
- All applications must be submitted through the Portal.
- Applications are considered submitted once all documents required at the time of application have been received. Applications submitted without the proper documents will be placed on hold until they are received and have been processed by NOSM University.
- Learners will be advised by NOSM University if a submitted document does not meet the requirements or is missing.
Application Window:
- Applications are accepted between 36 weeks and 27 weeks prior to the placement start date. Learners are strongly encouraged to apply as early as possible (36 weeks).
Submitting Multiple Applications:
- Canadians Studying abroad are limited to two NOSM University applications per lifetime – up to sixteen (16) weeks.
Number of Electives that can be Ranked in One (1) Application:
- Each NOSM University applications allows for the following:
- One elective start date to a maximum of 4 weeks
- Only one placement is to be requested per application and may not be split in any way.
- Up to three disciplines and/or subspecialty choices and up to three site locations/communities
- If you select “Any” as your site location, NOSM University will search for a preceptor in all available communities.
Capacity/Elective Availability:
- NOSM University is unable to advise as to capacity/elective availability prior to an application being submitted.
Processing Times:
- Applications are processed on a first-come, first-served basis. NOSM University will advise Learners if their application has been reviewed and moved to the processing phase within 4 weeks of the application submission date.
- If the application is missing documentation or information, NOSM University will communicate with the Learner. The Learner is responsible to adhere to dates and document requested timelines.
- The processing phase will be in effect until 8 weeks prior to the placement start date or an elective is secured, offered, and accepted or declined by the learner, whichever comes first.
- Once the elective is confirmed, the learner should check their confirmation email for additional placement instructions.

NOTE: An application is not deemed “submitted” until the Home School Verification has been completed.

With Application Submission:
- A recent and clear photo of yourself (JPEG)

- The LoGS must include the following:
- Current standing as a learner
- Enrolment dates (started mm/yy and anticipated graduation date mm/yy) and must include the learners next promotion date
- Registration status at the time of the placement (learner will be in year xx of the xx year program)
Collected by Synergy Verified:
NOSM University has partnered with Synergy Verified to provide support and clearance for pre-placement requirements.
You will not be required to upload prerequisite documents into the AFMC portal with your initial application. Log in details for Synergy Verified will be sent to your school email account once you have moved into the processing stage of the application.
Health records and documents will be validated via an Electronic Review Verification (ERV) through Synergy Verified, a proprietary platform that is used by students across Ontario for the purpose of digitally collecting placement requirements and documentation for verification.
Your Electronic Review Verification (ERV)
Your Application Package will outline what documents are required to be submitted to Synergy Verified. Be sure to review the list o requirements below and have a plan of when and how you will be completing them. It is important to remember that some requirements may take an extended time to complete.
This documentation must be completed at five (5) months from the start of the elective placement:
- Pre-Placement Requirement Clearance Information
- Formulaire d’immunisation
- Mask Fit Testing Certificate
- Copy of Canadian Passport
- Police Record Check (with Vulnerable Sector Check or Country Equivalent) along with NOSM U International Elective – Criminal Disclosure Form.
- WHIMIS 2015
Learners should receive the Synergy Verified Log In within 3 business days. If not received, please email internationalelectives@nosm.ca
You will need to ensure that all the requirements are met and will still be valid at the time of your placement. They must NOT expire prior to your placement.
Additional Documents Required Prior to Placement:
This documentation will be requested after the clinical elective placement is confirmed:
- Completion Receipt of Learner Mistreatment Training Module
- Completion Receipt of Cultural Safety Training Module – Hearing our Voices (15hrs) (LINK)
- Completion Receipt of Sexual Violence Prevention Module – (LINK)
- Proof of UHIP Coverage: Learners will be provided with the purchasing information (NOSM U’s e-payment platform).
- Malpractice Coverage: Leaners will be provided with the purchasing information (NOSM U’s e-payment platform).
Preceptor Search
Learners are discouraged from scheduling clinical elective placements with their own preceptor independently of NOSM University. NOSM University will match each learner to a preceptor in their specified preferred area of specialty or community.
NOSM University’s Community Relations Coordinators will be open to discussion surrounding your ties to a community or preceptor preference. Please note that NOSM University will have sole discretion in the final decision for any clinical placement.
Learner Assessments
It is the sole responsibility of every visiting student to ensure that their home school assessment form (maybe known as an elective evaluation form) has been completed by their preceptor and returned to their home school.
NOSM University’s administration will not be responsible for tracking down any assessment forms after the student has returned to their home school. NOSM University staff, preceptors and affiliates do not complete or sign any forms, letters, agreements and other related documentation, other than the medical student’s Home School Clinical Assessment Form.
Should a homeschool require a completed elective assessment/evaluation, then the student must provide the assessment directly to the preceptor during the elective.
The supervising physician/preceptor is responsible for assessing students while on an elective. Electronic requests prior to or after completion of the elective will not be completed.
NOSM University does not require or keep a copy of any of the completed student assessment forms.
All preceptors are NOSM University faculty appointed physicians and can duly complete and sign these assessment/evaluation forms on behalf of the NOSM University’s Northern Electives Program.
